Introduction
Apart Research Inc ("Apart Research", "we", "our", or "us") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, and protect your personal information when you participate in the Apart fellowship programs, register for or submit a project to one of our Sprints, sign up to hear about opportunities or our newsletter, or visit our website.
Information we collect
When you apply to or take part in an Apart fellowship program, we collect the details you give on its forms, such as your contact details, CV and professional background, research interests and availability and, if you choose to give them, demographic details and professional profiles.
When you register for a Sprint, we collect the details you give on its sign-up form. If you give us a LinkedIn or Google Scholar profile, we also get information from it through third-party providers and add it to your record with us (see "Apart Link opportunity emails").
When you submit a project to a Sprint, we collect the project and the details the form asks for about each team member, such as their name, email address and profile links; if a teammate submits it, we get your details from them. Judges and AI tools review and rank projects, and we may publish projects on our website with their team members' names.
When you review Sprint projects as a judge, we collect your name and your reviews, including your scores, and use them to judge the Sprint's projects. We may publish your reviews on our website without your name, and share your name, your reviews and a short description of your background, which we may write from your public professional profiles, with funders, who may show your name publicly if you agree.
When you refer friends to a Sprint, we collect your name and email address and the names and email addresses of the friends you add, and email each friend one invitation to that Sprint. When you register for a Sprint through someone's invite link, we record that they referred you, so we can credit them under the referral terms.
When you subscribe to our newsletter or send us a form on our website, such as a contact or collaboration request, we collect the details you give.
When you visit our website, we collect information about your visit with analytics tools (see "Cookies and analytics").
How we use your information
We use your personal information for the following purposes:
To manage your participation in the Apart fellowship programs
To run the Sprints you register for, including reviewing, ranking and publishing their projects
To communicate with you about the programs and related opportunities, reply to what you send us, and send you our newsletter if you subscribe
To find participants we could invite to our other programs or introduce to funders, employers and other programs in AI safety
To collaborate on research projects using common online collaboration tools like Notion, Google Calendar, and Overleaf
To understand how our website is used and for our outreach
For impact assessment and to improve our program
To develop and test the tools we use to run our programs
To keep our website working, including finding and fixing errors
Cookies and analytics
We use Google Analytics and PostHog, which is hosted in the EU, to understand how our website is used, so we can improve it and our outreach.
If you visit from the EU, the EEA, the UK or Switzerland, we ask first. Until you accept, Google Analytics sets no cookies and receives only basic information about each visit, without cookies, and PostHog counts your visit without cookies: it uses your IP address and browser details to count visits without storing them. Elsewhere, and once you accept, both use cookies, so they can recognize a returning visitor, and PostHog may record how you use our pages (session replay), with everything you type into forms hidden.
To find and fix problems, our website and PostHog record errors that your browser or our servers run into, with the page and the browser they happened on.
When you arrive through a link from a campaign or a partner, we send its campaign details with any form you fill in, so we know which partner or event your sign-up came from. Where you allow cookies, we also keep them in a cookie for your visit, so a form on another page has them too.
An invite link carries its owner's referral code, a short code made from their email address that does not reveal it. Where you allow cookies, we keep the first code you arrive with in a cookie for 30 days, so a sign-up on a later visit still credits them.
You can change your choice at any time under "Cookie settings" at the bottom of every page. We keep your choice in your browser.
Apart Link opportunity emails
If you have registered for an Apart Sprint or signed up to hear about opportunities, we may email you a personalized selection of opportunities, such as jobs, fellowships, courses and funding calls.
How we choose what to send you. An automated system reads what we hold about you, such as your public LinkedIn profile and the answers you gave on our forms, and infers a picture of you from it, such as your career stage, experience, education, location, involvement in AI safety and interests.
Where your profile comes from. We get your public LinkedIn profile through a third-party provider of professional-profile data, and do the same with a Google Scholar profile you give us. We keep the details these profiles show, such as your roles, education, skills and publications, on your record with us. From time to time we may fetch a fresh copy, so that what we hold reflects where you are now and so that we can see whether people move into AI safety work after taking part in our programs.
Tracked links. We record which links in these emails you click and when.
What we use all this for. Choosing the opportunities we send you and making those choices better, putting you forward to organizations hiring for AI safety roles that fit you, and understanding whether Apart's programs help people move into AI safety work.

The need to run the programs and Sprints you sign up for
Our legitimate interests, where we send you opportunities in AI safety and keep the information we hold about you current, invite you to our other programs, put you forward to organizations hiring for AI safety roles, introduce you or your project to funders and other programs in AI safety, run Sprints with the organizations co-organizing or partnering on them, develop and test the tools we use to run our programs, learn whether our programs help people move into AI safety work, and report what our programs achieve to the organizations that fund them
Your right to object
Where we rely on our legitimate interests, you can object at any time, and we will stop. To object, or to have what we hold deleted, write to operations@apartresearch.com.
Data retention
We keep your personal data for as long as we may still invite you to our programs, send you opportunities, or need it to measure what our programs achieve or to develop and test the tools we use to run them.
You have the right to request deletion of your personal data at any time. If you wish to have your data deleted, please contact us at operations@apartresearch.com.
Data sharing
We do not sell your personal data. We may share your data with:
Service providers (e.g., Notion, Google, Overleaf), including providers of AI services, professional-profile data, analytics and advertising
Mentors and advisors associated with the fellowship programs, to provide guidance and support
Judges who review Sprint projects
Organizations co-organizing or partnering on a Sprint you register for
Funders, employers and programs in AI safety that we introduce you or your project to
Funding bodies and grant providers, in reports on what our programs achieve
Legal authorities when required by law
Organizations co-organizing or partnering on a Sprint may also share with us the registrations they collect for it, such as your name, email address and the answers you gave them.

Data security
We implement appropriate technical and organizational measures to protect your personal data against unauthorized or unlawful processing, accidental loss, destruction, or damage.
International transfers
We are based in the United States, so your personal data is held and used there and in other countries outside the EU/EEA and the UK, including by our service providers, such as Notion and Google, and by organizations co-organizing or partnering on a Sprint. These countries may have data protection laws that are different from the laws of your country. The European Commission has decided that the United States protects personal data adequately only for organizations certified under the EU-US Data Privacy Framework.
Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by email.
